Photo Booth Deposit & Cancellation Policy: What to Expect Before You Book in Toronto (2026)

Do You Have to Pay a Deposit to Book a Photo Booth in Toronto?

Yes. Every established photo booth company in Toronto and the GTA holds your date with a deposit, and it is the only thing that actually takes your date off the calendar. At GTABOOTH360 the deposit is 30% of your total, due when you sign the booking agreement, with the remaining 70% due one day before the event. The deposit is not an extra fee — it comes straight off what you owe.

The part that trips people up is not the deposit itself. It is everything attached to it: whether it is refundable, when the balance is really due, what happens if the date moves, and what the contract says about overtime, space and power. This guide walks through the actual clauses in a GTABOOTH360 booking agreement — the same ones published on our terms and booking policy page — so you know exactly what you are signing before you pay anything. You can price your booking yourself in about a minute on the photo booth pricing calculator, and the numbers below are worked from those same figures.

What Is a Photo Booth Deposit Actually For?

A deposit reserves your specific date and start time exclusively, and it compensates the company for turning away every other enquiry for that date. Saturdays in wedding season are a fixed, non-renewable inventory — once a booth is committed to a Vaughan banquet hall on the third Saturday in September, that booth cannot be anywhere else.

That is why deposits are almost universally non-refundable in this industry, ours included. It is not a penalty aimed at you; it is the reason a company can confidently say "yes, that date is yours" instead of "maybe, if nothing better comes along." A company that takes no deposit at all has not really committed to your date, and a company that asks for the full amount upfront is asking you to carry all the risk. Thirty percent down is the middle ground the GTA market has settled on for good reason.

How Much Is the Deposit on a Toronto Photo Booth Rental?

Thirty percent of your all-in total, HST included. Because our prices are published rather than quoted, you can work out your exact deposit before you ever speak to us. Here is what that looks like on our most-booked packages:

| Booking | Price (before HST) | Total with 13% HST | 30% deposit | Balance due |

|---|---|---|---|---|

| 360 Video Booth, 3 hours | $550 | $621.50 | $186.45 | $435.05 |

| Mirror Booth, 3 hours | $700 | $791.00 | $237.30 | $553.70 |

| Magic Mirror Booth, 3 hours | $1,050 | $1,186.50 | $355.95 | $830.55 |

| Mirror Booth + 360 Combo, 3 hours | $1,000 | $1,130.00 | $339.00 | $791.00 |

| AI Photo Booth, 3 hours | $1,000 | $1,130.00 | $339.00 | $791.00 |

| Portrait Station, 2 hours | $1,000 | $1,130.00 | $339.00 | $791.00 |

For most GTA events that means a deposit between roughly $190 and $360 holds a prime Saturday. Payment is by card, e-transfer or cash — whichever is easiest for you. Full price list for every booth, hour length and combo is on the services page, and the calculator will do the HST and deposit math for any combination you build.

When Is the Balance Due on a Photo Booth Rental?

The remaining 70% is due one day before your event. If you are paying the balance in cash, it is collected on the event date before the booth starts running.

This is a detail worth reading carefully, because it varies a lot between companies — some ask for the balance two weeks out, some on the day. Ours is one day prior, and we send a reminder rather than leaving you to remember it in the middle of your event week. If your event is a corporate booking that runs through a purchase order or accounts payable, tell us at signing and we will invoice in whatever timeline your finance team needs.

What Happens If You Cancel a Photo Booth Booking?

Cancellations made less than 60 days before the event forfeit payments received, including the deposit. The deposit itself is non-refundable at any point, because it was the price of taking your date off the market.

Read that clause on any contract you are handed, not just ours, and be honest with yourself about the date before you sign. If your venue is not confirmed, or the guest count could still collapse, wait a week before booking the booth — a deposit paid on a date that may not happen is the single most avoidable cost in event planning. Once your venue contract is signed and the date is real, book the booth quickly, because the good dates go 4 to 6 months out across Toronto, Mississauga, Vaughan and Durham Region.

One thing worth flagging honestly: if we cannot supply a working booth for at least 80% of your booked service period, you are refunded a prorated amount for the service you did not receive. That protection runs the other way, and it is in the same agreement.

Can You Change Your Event Date Instead of Cancelling?

Often, yes. Date changes require written notice at least two weeks before the original date, and are subject to availability on the new one. If the new date is open, we move the booking and your deposit moves with it.

The two constraints are real, though. Two weeks is the notice we need to release and re-market the original date, and availability is availability — if your new date is a Saturday in October that is already committed, we cannot conjure a second booth and attendant out of nowhere. The earlier you tell us a date is wobbling, the better the odds. A quick text the moment you know beats a formal email three days out.

What Should Be in a Photo Booth Contract Before You Sign?

A proper booking agreement covers eight things: deposit, balance timing, what happens if the booth fails, overtime rates, the space and power you have to provide, date changes and cancellations, photo usage rights, and which province's law governs the contract. If a company is asking for money without putting all eight in writing, that is your signal.

Here is what ours says on the ones people ask about most:

  • Overtime. Running more than 10 minutes past the agreed end time costs $40 per additional 10 minutes. If you decide on the night that you want the booth to stay longer, on-site extensions are $100 per 30 minutes, subject to the attendant's availability.
  • Space and power. You provide an 8 ft x 8 ft space with 7.5 ft of ceiling clearance, a 6 ft table, and one standard electrical outlet within 10 ft of the booth. Worth confirming with your venue before you sign, especially in older Toronto lofts and heritage rooms with low ceilings.
  • Photo usage. Unless you opt out in writing, we may use images and recordings from your event in our advertising. If your event is private, confidential or corporate-sensitive, say so at signing and we will note it — it is a one-line change, not a negotiation.
  • Governing law. Ontario law, plus applicable federal law of Canada.
  • What Does the Price Include, and What Costs Extra?

Every GTABOOTH360 booking includes delivery, setup, teardown, a professional attendant on site for the full booking period, unlimited sessions, a custom print or digital overlay, your chosen backdrop and props, and a full online gallery to keep and share. Setup takes about 60 minutes before your start time and teardown about 30 minutes after, and neither comes out of your booked hours.

What sits outside that base price are the optional extras, and they are all published rather than quoted on the night:

  • AI Portraits — $250 as an add-on to a Mirror or Magic Mirror booking, regularly $450, a limited-time deal. Guests get AI-generated portraits printed on the spot. If AI is the main event rather than an add-on, the full AI photo booth rental in Toronto package starts at $1,000 for 3 hours.
  • 4x6 unlimited prints — $100.
  • Red carpet with stanchions — $150.
  • Flower wall added to a booth — $250, or $399 as a standalone 3D flower wall.
  • Audio & Video Phone Booth — $350 as a flat add-on that runs all night, or $450 with the floor stand.
  • Event Photography — from $800 for 3 hours, $1,000 for 4, $1,200 for 5 and $1,400 for 6.
  • Selfie Booth — $400 flat for the full day, digital sharing only with no prints.
  • Two combos are worth knowing about because they beat booking the same booths separately: Mirror Booth + 360 from $1,000 for 3 hours, and Magic Mirror + 360 from $1,400 for 3 hours, which includes the Audio & Video Phone Booth free. Our Portrait Station — a real photographer and live editor on site, with every guest leaving with a retouched black-and-white portrait printed immediately — is from $1,000 for 2 hours and is the package corporate galas and conferences book most. You can see all of them running at real GTA events in the gallery.

Are There Hidden Fees — Travel, HST or Setup Charges?

No travel fee anywhere in the Greater Toronto Area, no setup charge, and no attendant fee. The only two additions to a published price are 13% HST, which appears on every invoice, and any optional add-on you deliberately choose.

Our no-travel-fee area covers Toronto, North York, Scarborough, Etobicoke, Mississauga, Brampton, Vaughan, Markham, Richmond Hill, Oakville, Ajax, Pickering, Whitby and Oshawa — so a King West loft, a Distillery District venue, a Mississauga banquet hall and a Whitby community centre all pay the same rate. For venues outside the GTA a travel fee applies and is always quoted upfront, before you book, never after. If you are in Durham Region, our Ajax photo booth rental page has the local detail on venues and timing.

Two smaller policies, stated plainly so nobody is surprised: promotional offers cannot be stacked with one another or with package discounts unless we put it in writing, and we do not take free, volunteer or complimentary bookings, including for charity and non-profit events.

How Do You Pay a Deposit and Lock In a Date?

Price your booking on the calculator, send us the date and venue, and we send back a booking agreement with the exact deposit on it. Sign it, pay the 30% by card, e-transfer or cash, and the date is yours — usually the same day you enquire.

There is no quote form to wait on and no sales call before you see a number. If you want to sanity-check something first, call or text us and ask before you pay — the questions we would rather hear early are about your venue's ceiling height, your outlet location, and whether your date is genuinely locked. Send us your date and we reply within 24 hours.

    Frequently Asked Questions

Is a photo booth deposit refundable in Ontario?

At GTABOOTH360 the 30% deposit is non-refundable, and cancellations made less than 60 days before the event forfeit payments received. Policies differ between companies, and there is no provincial rule that forces a deposit to be refundable, so always read the cancellation clause before you sign rather than assuming a grace period exists.

How much deposit do I need to book a photo booth in Toronto?

Thirty percent of your total including HST. On our most-booked packages that is about $186 for a 3-hour 360 Video Booth, $237 for a 3-hour Mirror Booth, and $339 for a 3-hour AI Photo Booth or Mirror + 360 combo. The deposit comes off your total, so it is money toward the booking rather than an added fee.

When do I pay the rest of the photo booth balance?

The remaining 70% is due one day before your event. If you are paying in cash, it is collected on the event date before the booth starts. Corporate clients who need to run payment through accounts payable should mention it at signing so we can invoice on their timeline.

Can I move my photo booth booking to a different date?

Yes, with written notice at least two weeks before the original date and subject to availability on the new one. Your deposit transfers to the new date. Peak Saturdays between May and October fill 4 to 6 months out, so the sooner you tell us a date may shift, the better the chance the new one is open.

What happens if the photo booth breaks down at my event?

If we cannot supply a working booth for at least 80% of your booked service period, you are refunded a prorated amount for the service you did not receive. That clause is in the signed agreement, not a verbal promise, and it is one of the specific things worth checking on any photo booth contract before you pay a deposit.

Do I have to provide anything for the booth on the day?

Yes — an 8 ft x 8 ft space with 7.5 ft ceiling clearance, a 6 ft table, and one standard electrical outlet within 10 ft of the booth. Confirm all three with your venue coordinator before signing, particularly in older Toronto lofts, heritage rooms and tented outdoor setups where ceiling height or power can be the constraint.
